**About the role**
seeking a highly organized Purchasing Assistant to support procurement and contract administration for data centre construction projects across the Nordics. The role provides end-to-end administrative support for subcontracts, purchase orders, non-disclosure agreements and requests for quotation, ensuring that documentation is accurate, approved, executed and filed on time.
You will work closely with Project Directors, procurement and commercial colleagues, suppliers and other project stakeholders. Success in this role requires excellent attention to detail, strong follow-up skills and the ability to manage multiple priorities in a fast-paced, multi-project environment.
**What you will do**
**Subcontract administration**
•Compile and review RFQs, supplier offers, purchase orders, terms and conditions, HSE minimum requirements and other supporting documents to prepare complete subcontract packages.
•Upload draft and executed contracts to the appropriate Microsoft SharePoint folders and maintain accurate entries in the Contract Tracker.
•Coordinate internal reviews with Project Directors and procurement colleagues, following up on outstanding comments and approvals.
•Issue confirmed contracts to suppliers and manage follow-up through comment resolution and signature.
•Collect supplier-signed copies, route contracts for countersignature through DocuSign or Adobe Sign, and distribute final executed copies to suppliers.
**Purchase order management**
•Review supplier correspondence and offers to verify scope, pricing and commercial terms.
•Prepare and issue purchase orders in CCC, including orders with special terms, delivery conditions and long-lead-item requirements.
•Combine approved purchase orders with supplier offers and supporting documentation, then upload the complete package to SharePoint and the PO Tracker.
•Send purchase orders to suppliers for signature, collect signed copies and ensure that records are filed correctly.
•Coordinate with Commercial Managers to resolve missing or inaccurate TFM codes in CCC.
•Translate or manually transcribe non-English or scanned supplier offers when required.
**NDA and RFQ administration**
•Prepare supplier NDAs and route them to the VP or Head of Procurement for signature before distribution.
•Compile project information, technical links from ACC, terms and conditions, contract templates and HSE requirements into RFQ packages.
•Issue RFQs to suppliers and track responses through to completion.
**Stakeholder coordination and reporting**
•Serve as a day-to-day point of contact for Project Directors, procurement colleagues and suppliers regarding contract and PO status.
•Maintain accurate and up-to-date Contract Tracker and PO Tracker records for business-unit and group reporting.
•Respond promptly and professionally to procurement-related correspondence.
•Attend project and supplier meetings as required, typically for approximately 30 minutes.
•Support additional project-level procurement activities as needed.
**What you bring**

•Experience preparing and administering subcontracts and purchase orders in a fast-paced, multi-project environment.
•Strong document-control skills and exceptional attention to detail.
•Excellent organization skills, with the ability to manage a high volume of parallel tasks, deadlines and trackers.
•Clear written and verbal communication in English.
•A proactive approach to following up with internal stakeholders and suppliers to close outstanding actions.
•Working knowledge of Microsoft SharePoint and e-signature workflows such as DocuSign or Adobe Sign.
•The ability to work independently and escalate prioritization conflicts appropriately.
•A relevant degree or vocational qualification in business administration, supply chain, engineering or a related discipline, or equivalent demonstrated experience.
**Advantageous experience**
•Experience in data centre, critical infrastructure, construction, EPC, industrial or infrastructure projects.
•Norwegian-language skills for supplier and site coordination.
•Familiarity with CCC, ACC, Excel-based contract or PO trackers, and long-lead-item procurement.
